Submission Terms of Service

By submitting a listing, you confirm that you are authorized to provide the information and that you agree to the following:

1. Authorization and Responsibility

You confirm that:

• you are authorized by your clinic or organization to submit this information
• the details you provide are accurate, current, and complete to the best of your knowledge
• you understand that your submission will be published publicly on the Directory
• you are responsible for reviewing your content periodically and updating it when needed

We do not verify the accuracy or legality of submissions and rely on clinics to provide correct information.

2. Accuracy of Clinical Information

Clinics are responsible for ensuring that all submitted information is accurate, including:

• treatment descriptions
• laboratory practices and safety systems
• donor programs and family building services
• financial information and insurance participation
• accreditation and registration claims
• research studies and eligibility criteria

We may request clarification or hide information that appears unclear or inconsistent with standard reporting practices.

3. Staff Information and Required Consent

By submitting staff names, roles, photos, or biographies, you confirm that:

• you have obtained consent from each staff member whose information is included
• photos depict staff members only
• no minors are shown in any uploaded content

You are responsible for removing or updating staff information upon request.

4. Media Uploads and Patient Privacy

Clinics may upload photos and videos to their profiles, including:

• staff photos
• team or facility photos
• laboratory images
• short clinic videos

You confirm that all uploaded media:

• contains no identifiable patient information
• contains no patient names, dates, medical record numbers, or labels visible on screens
• contains no metadata that could identify a patient
• complies with patient privacy laws in your region

We may remove any media that does not meet these requirements.

5. Legal Compliance

Clinics are solely responsible for ensuring that all submitted content complies with:

• local laws and regulations
• professional ethics requirements
• licensing and accreditation standards
• rules governing donor anonymity, sex selection, embryo transfer, and eligibility
• research ethics and study approval requirements

We do not assess or verify legal compliance of services, research studies, or clinical practices.

6. Research Study Listings

If you submit information about a research study, you confirm that:

• the study information is accurate and approved by the appropriate ethics or regulatory bodies
• you are authorized to recruit patients
• contact information for study inquiries is correct
• study eligibility and descriptions are presented truthfully

We do not verify study approval, participant safety, or compliance with research laws.

7. Publication Rights

By submitting content, you grant us a non-exclusive right to:

• publish your information on the Directory
• format your content for display
• use the content for Directory-related informational or promotional materials (for example, showcasing example profiles or explaining how the Directory works)
• store and back up your submission as needed for operation

You can update or remove your content at any time through your clinic account.

If you prefer that your clinic not be highlighted in Directory-related promotional materials, you may contact us to request an opt-out.

8. Our Right to Edit, Request Changes, or Remove Content

We may edit, hide, or remove submitted content if it:

• is inaccurate or misleading
• includes outcome data presented in a misleading, non-standardized, or comparative way
• violates patient privacy
• uses exaggerated, misleading, or unverifiable marketing claims
• violates local laws or ethical standards
• includes off-topic, incomplete, or low-quality information
• infringes on the rights of others

Repeated violations may result in suspension or removal of the listing. Whenever possible, we will contact the clinic before making substantive changes to published content.

9. Academic Listings and Verification Requirements

Clinics applying for a complimentary Academic Listing confirm that:

• the clinic, laboratory, or fertility program is affiliated with an accredited university, teaching hospital, or academic medical center
• the individual submitting the listing is using an institutional email address or is otherwise authorized to represent the academic program
• they can provide documentation or a publicly available link confirming the academic affiliation if requested

Academic Listings must be verified before publication. If verification cannot be completed or if the academic affiliation cannot be confirmed, the listing may be:

• held in draft form
• converted to a Basic Listing
• or declined

We may contact the submitter for additional information to complete verification. Failure to respond or provide adequate documentation may delay or prevent publication.
